Scan to Add Asset on Mobile

Registering equipment shouldn't require a laptop and a spreadsheet.

With the new Scan to Add Asset feature on the Woven iOS and Android apps, Account Administrators and Operations Managers can now register equipment in real time, right from the facility floor. Set your location, category, and other classification fields once at the start of a session, then scan barcode after barcode as you move through the space. Serial numbers, asset tags, and console numbers populate automatically, and warranty templates apply themselves based on the manufacturer you select.

For teams managing a large hardware rollout or refreshing aging equipment across locations, this turns a multi-day data entry project into something you can finish in an afternoon.


Submit Work Orders from the Mobile App

Filing a work order used to mean leaving the Woven app and finishing the job in a browser. That extra step is gone.

The Submit Work Order quick action now opens a fully native, five-step flow built directly into the app, on both iOS and Android. Field employees can identify an issue by locating the equipment, selecting an observed reason, or scanning a barcode, and the app remembers whichever method they use most. Along the way, it flags duplicate open work orders before they're submitted and surfaces self-help suggestions for issues that don't need a technician at all.

For frontline teams, that means fewer redundant tickets, faster reporting, and one less reason to step away from the work in front of them.


Facility-Level Warranties on Work Orders

Asset warranties have always been visible on a work order. Facility warranties have not, until now.

Facility category work orders now display a dedicated warranty panel showing every location warranty on file, active, expired, and upcoming, with clear color-coded status. New facility work orders are automatically flagged as Warranty Work when coverage is active, and a new dispatch rule can route that work straight to your warranty vendor without anyone having to catch it manually.

It's a small change with a real payoff: fewer invoices for repairs that should have been covered, and less time spent digging through files to find out.


Vendor Contracts and COI: Compliance and Document Management

Vendor compliance tends to live in scattered folders, inboxes, and spreadsheets, until something expires and nobody notices in time.

Every vendor profile in Woven now includes a full compliance suite. Account Administrators and Scheduling Managers can record negotiated rate cards, store W-9s and licenses directly on the vendor record, and manage Master Service Agreements and location-specific contracts in one place. Upload a Certificate of Insurance and Woven's built-in AI reads the insurance type, producer, policy number, and expiration date for you, no manual entry required.

A four-state compliance badge on the vendor list shows status at a glance, and automated alerts go out at 60 days, 30 days, and weekly after expiration, to both your team and the vendor's primary contact. For operators managing dozens or hundreds of vendor relationships, this replaces a manual tracking process with one that runs itself.


AI Discoverability Controls for Communications

Not every internal communication should feed your organization's AI knowledge base, and now you get to decide which ones do.

Publishing a communication and contributing it to your AI corpus are now two separate decisions. Administrators can set an account-wide default for new communications, and authorized publishers can override that default per post for anything sensitive or time-limited. A slashed sparkle icon on feed cards makes it immediately clear when a communication has been excluded from AI search.

This gives organizations the same control over their AI corpus that they already expect over who sees a given post.

For teams spread across regions and languages, a single-language feed creates a gap that's easy to overlook until someone misses something important.

Communications Translate lets employees translate feed posts and PDF attachments into their preferred language with a single click, with initial support for Spanish, French, Simplified Chinese, German, and Portuguese. Translated content is cached for fast reloading, and switching back to English takes one more click, no page reload required.

The result is a feed that works the same way for every employee, regardless of the language they read best in.


Smart Team Uncapped

Reaching an entire organization shouldn't require maintaining a massive, manually updated employee list.

Administrators can now designate a single smart team as their official All-Company Team, which automatically resolves to every active employee at the moment content goes out. Chat-enabled teams also support up to 300 members, up from 200, and teams that don't need real-time chat can disable it entirely to remove membership limits altogether.

For growing organizations, that means less list maintenance and more confidence that a company-wide update actually reaches everyone.
