What we shipped from September 23 to October 14, and the problems behind each update.

Half of what we shipped this month started with a customer telling us something was harder than it should be.

One franchise team was tracking promotion readiness in a spreadsheet, position by position. A car wash group wanted its managers to hear about good work order ratings as reliably as bad ones. A fitness operator needed a way to stop over-plan schedules before they went out. Each of those conversations became an update in this post.

We build Woven this way on purpose. The people running locations every day spot problems first. The rest of this month’s updates came from patterns we kept seeing across accounts: a policy nobody can find, a work order that sat for two weeks, a floor plan that has to reach a contractor with no Woven login.

Why These Updates Matter for Multi-Location Operations

  • Consistency: Every location gets the same answers from the same policies, and the same audits on the same schedule.

  • Accountability: You can see which work orders are running late, how vendors are rated, and which audit findings were actually fixed.

  • Visibility: You know what equipment is at each site, what’s been repaired, and when a location was down, without driving out.

  • Scale without chaos: Sharing files, setting up access and finding your next leaders keeps working as you add locations.

Here’s a look at what’s new in Woven since our September update.

When the answer lives in a binder or in someone’s head

Challenge: Your policies took real work to write, and your best techs know how every unit has been fixed before. None of that helps the new hire at 6 a.m. or the tech opening a ticket at a location they’ve never been to.

Woven’s Solution: Stitch, Woven’s built-in AI assistant, now works from your own content. It answers questions from your policies and files, and it brings your repair history to new work orders.

  • Stitch answers from your policies and files: Your team can ask Stitch a question and get the answer straight from your own policies and files. You choose which ones Stitch can use, and people only see answers from content they already have access to.

  • Work Order Advisor: When a new repair request comes in, Stitch suggests a first step based on how your team fixed similar problems before. It’s rolling out to early accounts now, so ask your CSM if you’d like to be one of them.

For frontline teams and the techs who support them, that means the first answer comes from your own playbook.

When one file has to reach a lot of people

Challenge: The brand updates a spec sheet and half the franchisees keep using the old one. The facilities manager needs to send a floor plan to a contractor who will never have a Woven login.

Woven’s Solution: Give every file a link you can hand to anyone, inside Woven or out.

  • Brand File Library Direct Links: Every brand file now has its own link you can share anywhere in Woven. Whoever opens it goes right to the file.

  • External Share Links: Send a file to someone outside Woven, like a vendor or landlord, with a link they can open without logging in. You can set it to expire or turn it off anytime.

Brand teams and facilities managers get one current file and one link to share.

When work orders slip through the cracks

Challenge: With dozens of locations submitting work orders, the slow ones get buried until a location manager calls. And when a vendor finishes the job, nobody reads the rating unless it’s bad.

Woven’s Solution: Put a date on every work order, flag the late ones, and make every rating easy to review.

  • Work Order Due Dates: Work orders can now have a due date, and late ones are flagged in red so they’re easy to spot.

  • Work Order Ratings Filters: See every work order rating in one list, good and bad, and choose which ratings send your managers an email.

For maintenance leads, that means late work and poor vendor performance surface on their own, before anyone has to ask.

When the tech shows up without the full picture

Challenge: A vendor asks for a rooftop unit’s model number and someone drives out to read the plate. The tech on site doesn’t know which safety steps the job needs, and the asset’s history is so full of routine PM visits that the real breakdowns are hard to spot.

Woven’s Solution: Keep the specs, the job steps and the repair history right on the asset and the work order.

  • Asset Specifications: Keep the details your team needs, like model numbers or filter sizes, right on each piece of equipment.

  • Jobs on Work Orders: Attach the right job instructions to a work order, including the safety steps and protective gear the job needs.

  • Asset Service History: An asset’s history now shows real repairs first, so routine maintenance visits don’t bury them.

For facilities teams, that means fewer site visits just to gather information, and repair-or-replace calls based on the repairs that actually happened.

When an audit finds problems

Challenge: Audits only help if the findings get fixed, and regional managers can’t always tell which ones were. Taking the audit on a phone while walking the location isn’t easy either.

Woven’s Solution: Tie proof to every finding, and make the audit itself easier to take and schedule.

For brand standards teams, that means you can see what was found, what was fixed, and the photo that proves it.

When a location goes down

Challenge: Knowing a location closed early is useful. Knowing how long it was down, why, and how often it happens is better, and that’s usually the part nobody wrote down.

Woven’s Solution: Record every closure as it happens, with the reason and the hours it cost.

  • Location Operational Status: Record when a location closes unexpectedly, why, and how many hours it was down, then see it all in one report. Not yet available for companies that use Wash Down.

Downtime becomes a number regional leaders can track and act on.

When the wash goes down and the manager is on the floor

Challenge: When a car wash goes down, the site manager is usually out at the tunnel. Reporting it, finding who to call and bringing it back up all meant getting to a computer.

Woven’s Solution: Put the whole wash down workflow in the mobile app.

  • Wash Down in the Mobile App: Car wash managers can now report a wash down, see who to call, start a work order and mark the wash back up, all from their phone.

For car wash operators, that means the person standing at the tunnel can handle a wash down start to finish.

When you need to know who’s ready for the next role

Challenge: A shift lead gives notice or a new location opens, and the answer to “who’s ready?” is spread across training records, certifications and a manager’s memory.

Woven’s Solution: Compare every team member against the skills and certifications each position requires.

  • Position Readiness Reports: New reports show who has the skills and certifications for their current role, and who’s ready to move up.

HR and training leaders get a short list of promotion candidates and a clear view of the gaps holding others back.

Also new this month

Smaller changes your team will notice day to day, on the web and in the app.

  • HRIS Multi-Location Mapping: someone assigned to a market, region or district in your HRIS file gets access to every location in it on each sync. Your CSM sets this up for file and SFTP integrations.

  • Communications: publish without sending notifications, on web and mobile, and save up to 10 brand colors and 10 background images for feed cards. File Library publish emails now default to off.

  • Scan Asset: in the mobile app, scan a barcode or asset tag and the asset’s page opens, already signed in.

  • Also in the app: a Preventative Maintenance list, redesigned work order cards and due dates on work orders.

  • Smaller fixes: work order attachments up to 50 MB per file, Time Clock totals that subtract unpaid breaks, and a labor plan option that blocks publishing over-plan schedules.

Built for the Realities of Multi-Location Operations

Every release is built around the same goal: helping multi-location organizations run consistently, whether they have 20 locations or 200.

Half of this month’s updates started as conversations with the operators who use Woven every day. Thank you to every customer who took the time to tell us what could work better. Keep it coming: tell your CSM, or share an idea on the Woven feedback board.
